“Printer offline” in Windows: the reliable fix order

A printer that shows Offline in Windows while it is clearly powered on is one of the most common tickets we clear remotely. The mistake people make is changing settings at random. Work through these in order instead — it comes back almost every time.

1. The physical layer first

If the printer’s own IP page will not load, this is a network problem, not a Windows one. Skip to section 4.

2. Turn off “Use Printer Offline”

In Settings → Bluetooth & devices → Printers & scanners, open your printer, choose Open print queue, then in the queue window open the Printer menu and make sure Use Printer Offline is not ticked. Windows sometimes sets this itself after a failed job and never clears it.

3. Clear the print queue and restart the spooler

A single stuck job can drag the whole queue offline.

  1. Open the print queue and cancel every document.
  2. If a job will not cancel, press Windows + R, type services.msc, find Print Spooler, right-click and Restart.
  3. Send a fresh test page.

4. Fix the IP the driver points at

The most common lasting cause on office networks: the printer’s IP address changed (DHCP handed it a new one), but the Windows driver still points at the old address, so it will always look offline.

A reserved IP is the permanent fix. Without it, a printer can go “offline” every time it reboots and picks up a new address.

5. Re-add the printer

If it still will not come back, remove the printer from Printers & scanners, then add it again by its current IP with a fresh driver from the manufacturer. This rebuilds the port and driver in one step and clears corrupted settings.
